Guide
Video project handoff checklist.
A practical checklist for sending an editing project to another editor, a studio or a client. Most of it works with any tools; where Bundvera helps, we say so.
Before you package
- Open the project and relink any offline media. Offline clips at the sender will be offline for everyone.
- Decide whether you’re sending original media or trimmed copies. Premiere’s Project Manager can collect or consolidate media into a new location.
- Write down the fonts, effects, plugins and LUTs the project needs. No tool can confirm these from the files alone; the recipient will need to install them.
- Leave out caches and previews such as media cache files and render previews; the recipient’s software rebuilds them.
- Write a short note: the project version, which sequence to open, the frame rate and anything known to be unfinished.
Packaging the folder
- Put everything under one top-level folder: the project, footage, audio, graphics and any templates it uses.
- Keep the folder structure the project expects. Moving media after import is the most common cause of offline clips.
- If you use cloud storage, make sure every file is fully downloaded before you package or upload. Online-only placeholders aren’t the real files.
- Bundvera can prepare the delivery for you: it copies the scanned project into a new folder, keeps the structure, re-hashes every copy and never touches the originals.
Names that survive macOS and Windows
- Avoid characters Windows doesn’t allow in names:
< > : " / \ | ? *. - Avoid names ending with a dot or a space, and reserved names such as
CON,PRN,AUX,NUL,COM1orLPT1. - Keep paths short. Some Windows software still struggles with paths longer than 260 characters.
- Don’t rely on capitalisation:
Logo.psdandlogo.psdcan’t coexist on most Mac and Windows drives.
Bundvera flags all of these in both Quick Preflight and Deep Verification.
Checking before you send
- Run Quick Preflight on the delivery folder. It lists media the Premiere project uses that is missing or outside the folder.
- Fix what it flags, and run it again until nothing blocks the delivery.
- Run Deep Verification and save the manifest and the receipt.
Sending
- Use whatever transport you trust: a drive, a cloud folder or a transfer service.
- Send the manifest with the delivery. If you want extra assurance, also send it, or the integrity digest printed on the receipt, through a separate channel such as email.
- Tell the recipient which software they need to verify the delivery. Verifying with Bundvera is free.
When it arrives
- Copy the delivery off any shuttle drive onto working storage first, then verify the copy you’ll actually use.
- Verify the folder against the manifest. Bundvera names missing, modified and unexpected files.
- Open the project. If media appears offline because paths differ, use Premiere’s Link Media dialog to point it at the received folder.
- Report back: a short confirmation, or the exported report if something needs to be resent.
